How to prioritise when everything is a priority
Feb 12, 2024"Everything's Urgent!" - The Unintended Tragedy of the "Save the Day" Leader
Ever feel like your inbox is a bottomless pit of "urgents" and your to-do list a never-ending mountain? You're not alone. In the whirlwind of modern leadership, it's easy to fall into the trap of becoming the constant firefighter, diving in to save the day every time a "crisis" pops up. But here's the thing: that "hero" mode, while well-intentioned, can actually drain your energy, demotivate your team, and ultimately hinder your long-term impact as a leader.
It's a seductive trap. The adrenaline rush of putting out fires and rescuing the day can feel immensely satisfying, like being a superhero in the office. You get the immediate praise, the sense of accomplishment, the confirmation that you're indispensable. But this quick fix comes at a hidden cost.
The Unseen Shadow of "Save the Day":
- The Tyranny of the Urgent: You become trapped in a reactive cycle, constantly responding to immediate demands instead of proactively shaping the future. Strategic thinking gets drowned out by the noise of the urgent, leaving your long-term goals neglected and your vision dimming.
- The Silencing of Your Team: By swooping in to solve every problem, you inadvertently disempower your team. They lose the opportunity to learn, grow, and take ownership, their potential stunted by your perceived indispensability. This, in turn, creates a dependency, further reinforcing the unhealthy cycle.
- The Burnout Blight: The constant firefighting takes a toll on your well-being. You become stressed, exhausted, and depleted, your personal life taking a backseat to the never-ending "fire alarms." This leads to diminished creativity, poor decision-making, and ultimately, burnout, which hurts not just you, but your entire team and organization.
From Firefighter to Impactful Leader:
So, how do we break free from this self-imposed prison? How do we transform from reactive firefighters to impactful, visionary leaders? The answer lies in a conscious shift in mindset and behaviour:
- Master the Art of Prioritization: Not everything is urgent. Learn to distinguish the "urgent" from the "important," ruthlessly prioritizing tasks that align with your long-term vision and delegate the rest. This creates space for strategic thinking and empowers your team to take ownership. We talk about this in terms of 3 using decision aides: the purpose of doing it, the value it creates and your capacity to complete it.
- Embrace the Power of Delegation: You are not an island. Develop your team, coach them, and trust them to handle responsibilities. Delegation is not about abdicating, it's about multiplying your impact. A capable, empowered team takes the pressure off you and allows you to focus on the bigger picture.
- Set Boundaries and Protect Your Energy: You are not a machine. Remember, your work is not your life. Schedule time for rest, exercise, and personal pursuits. Recharge your batteries so you can show up as your best self, both personally and professionally.
Challenging Conventional Practices:
Leadership requires constant reevaluation and evolution. Here are two conventional practices that often fuel the "Save the Day" trap, and how to challenge them:
- The "Always Available" Myth: Being constantly accessible doesn't equate to effective leadership. Set boundaries, communicate your availability, and trust your team to handle things in your absence. This not only protects your well-being but also fosters a culture of independence and accountability.
- The Hero Mentality: It's time to redefine success. True leadership isn't about being the lone savior; it's about building a winning team and empowering them to shine. Let go of the need for individual glory and focus on creating a system where everyone thrives.
